Set the Tune (“we,” “our,” or “us”) is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our scheduling software platform. Please read this policy carefully.

Account information: Name, email address, school name, and billing details when you create an account.

School data you upload: Teacher profiles, student records, availability schedules, lesson assignments, and related operational data that you enter into the Service.

Usage data: Log files, pages visited, features used, timestamps, and IP addresses to operate and improve the Service.

Billing data: Payment information is collected and processed by Stripe. We do not store full card numbers.

• To provide, maintain, and improve the Service.
• To process payments and send billing communications.
• To send transactional emails (e.g., magic sign-in links, team invitations, family lesson notifications).
• To respond to support requests and inquiries.
• To detect and prevent fraud or abuse.
• To comply with legal obligations.

We do not sell your data to third parties. We do not use your data for advertising.

We share your information only with:

• Supabase — database and authentication hosting.
• Stripe — payment processing.
• Resend — transactional email delivery.
• Vercel — application hosting and edge infrastructure.
• Google Maps Platform — geographic routing calculations (addresses passed for distance computation only).
• Anthropic — AI-assisted features (scheduling suggestions, conflict analysis). Data processed per Anthropic's API privacy policy.

All vendors are bound by data processing agreements. We do not share data with other third parties unless required by law.

The Service may be used to process information about minor students. This data is entered and controlled by the school administrator. We act as a data processor on behalf of the school. Schools are responsible for complying with FERPA, COPPA, and other applicable regulations governing student data. We do not independently use student data beyond what is necessary to provide the Service.

We retain your account and school data for as long as your account is active. If you close your account, we will delete or anonymize your data within a reasonable period, except where we are required to retain it for legal or compliance reasons.

We use industry-standard security practices including encryption in transit (TLS), encrypted storage, and role-based access controls. However, no system is completely secure. We encourage you to use a strong password and notify us immediately of any suspected breach.

Depending on your location, you may have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request deletion of your data (right to be forgotten).
• Export your data in a portable format.
• Object to or restrict certain processing.

We use cookies and local storage solely to maintain your session and authentication state. We do not use tracking cookies or third-party advertising cookies.

The Service is not directed at children under 13. School administrators who upload information about students under 13 are responsible for compliance with COPPA and obtaining appropriate parental consents.

We may update this Privacy Policy from time to time. We will notify you of material changes via email or in-app notice. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
